Physiotherapy Appointment & Cancellation Policy
Arranging your appointments
Following your initial assessment with us, your physiotherapist will book you in for a follow-up appointment, if necessary. If you need to change your appointment day or time, at any time, please call reception and our admin team will be able to reschedule it for you.
Punctuality
We value your time and endeavour to start and finish sessions on time. In order to get the most from your appointment, please arrive a couple of minutes before your appointment is due to start so that we can get started on time. We are unable to extend appointments if you attend late as another patient may be waiting.
Payment for your appointments
Your initial assessment with your physiotherapist is paid for in advance, on booking. Any further appointments should be paid for on arrival or immediately after your appointment, in reception.
Cancellation policy
In the event that you have to cancel your scheduled appointment please give us as much notice as possible. If you give us more than 24 hours notice, there will be no charge. If you have paid in advance this payment will be transferred to your subsequent appointment.
Please note if you cancel two consecutive appointments you will be required to pay for your next appointment in advance. This payment is non-transferable and non-refundable. As you will appreciate, we cannot continue to offer appointments that are not being used.
If you cancel with less than 24 hours notice or do not give us notice that you will not be attending your appointment, you will be required to pay for the missed appointment or your advanced payment will be kept. There are no exceptions to this. Due to the short notice your physiotherapist will be unable to fill that appointment, so a charge has to be made.

Confidentiality and note-keeping
We provide a completely confidential service to our clients. We will not speak to anyone about any aspect of your care without having discussed and agreed this with you beforehand.
A record is kept of every session you have with your physiotherapist and these notes are stored on Cliniko, a safe, secure encrypted server which is accessible only by the team at EBTC.
Claiming on insurance policies
Our physiotherapists are all CORU registered and members of the Irish Society of Chartered Physiotherapists. As you know, there are a number of insurance providers in Ireland offering different policies covering various services. Therefore, if you want to claim from your provider for appointments at EBTC, we recommend that you contact your individual provider to ensure that you are covered. EBTC is not responsible for this.
If you are paying tax and not claiming on private insurance, you may be able to claim your tax back on all healthcare appointments. Further information and forms are available at your local tax office or on www.revenue.ie.
Contact with our physiotherapists
If you need to contact your physiotherapist for any reason in between appointments, you can contact the admin team and they will be able to assist you. In most cases, issues can be dealt with by the admin team and if not, they can seek advice from your physiotherapist.
Feedback / Complaints procedure
If you are unhappy with any aspect of your care from initial contact to the end of your physiotherapy experience, please let us know as soon as possible. Our aim is to offer compassionate, effective healthcare and we are continually looking for ways to improve. If you do experience a problem, please contact our Practice Manager Maria Burke, and she will assist you. Alternatively, if you feel comfortable to share what is going on with your physiotherapist, you can discuss it with them and together make a plan of how best to move forward.
